Hidden Expanse — Terms & Conditions
Event Name: Hidden Expanse
Event Format: In Person & Online
Event Dates: 12–14 November, New Zealand
By registering for Hidden Expanse, whether in person or online, you agree to the following Terms & Conditions.
1. Registration
Registration is required to attend Hidden Expanse, whether attending in person or via livestream. Your place is confirmed once payment has been received, or once your eligibility for free online access has been confirmed.
In-person registrations are subject to venue capacity and availability. Online access will be provided through the official livestream platform and is intended for the registered attendee only.
2. Cancellation Policy
If you are no longer able to attend due to a change in circumstances, the following refund policy applies:
3 months or more before the event: 80% refund available
2 months before the event: 50% refund available
1 month or less before the event: No refund available
Refunds are calculated from the event start date of 12 November.
Any refund requests must be submitted in writing. Refunds may take several business days to process, depending on the payment provider.
3. Transfer Policy
You may transfer your in-person or online registration to another person up to 1 month before the event.
Transfer requests must be submitted in writing and include the full name and email address of the person receiving the registration.
Transfers cannot be made within 1 month of the event unless approved at the discretion of the event organiser.
4. Free Online Access for Eligible Members
SOT Gold Members and Genesis NFT Holders may be eligible for free livestream access to Hidden Expanse.
To qualify for free online access:
You must be an active SOT Gold Member for the 3 months leading up to the event, and remain active through to the event dates; or
You must be a verified Genesis NFT Holder at the time access is confirmed.
Eligible members and holders will be automatically registered for livestream access.
Free online access is not transferable, refundable, redeemable for cash, or exchangeable for in-person attendance.
5. Online Access
Livestream access details will be sent to eligible and registered online attendees before the event.
The livestream link is for the registered attendee only and must not be shared publicly or privately with others. Recording, copying, downloading, redistributing, or sharing the livestream content without permission is not permitted.
The event organiser is not responsible for technical issues caused by the attendee’s internet connection, device, software, or personal setup.
6. Event Changes
The event organiser reserves the right to make reasonable changes to the event schedule, speakers, sessions, format, venue details, or livestream arrangements where necessary.
If any major change is required, attendees will be notified as soon as reasonably possible.
7. Non-Attendance
Failure to attend the event, whether in person or online, does not entitle the attendee to a refund outside of the cancellation policy listed above.
8. Conduct
All attendees are expected to engage respectfully with the event, speakers, organisers, and other attendees.
The event organiser reserves the right to remove access from any attendee whose behaviour is disruptive, inappropriate, unsafe, or contrary to the culture and purpose of the event.
9. Privacy
Personal information collected during registration will be used for event administration, communication, access management, and related event purposes.
Your information will not be sold or shared with third parties except where required for the delivery of the event or where required by law.
10. Agreement
By completing your registration, you confirm that you have read, understood, and agreed to these Terms & Conditions.
